Details: Position Title:  Administrative Coordinator - SpokeLocation:  Corpus Christi, TX Reports to:        Company Overview Highway Technologies is a leading provider of traffic safety services and equipment for the road repair, construction and maintenance industry.  Highway Technologies’ core services include traffic control planning and services, pavement marking, permanent sign and guardrail installation, and related merchandise and equipment rental and sales.  Customers include highway construction companies, Departments of Transportation, municipalities and utilities.  Highway Technologies generates approximately $200 million in revenue with 40 branch locations in over 15 states and employs approximately 1,300 people. Position Summary The primary function of the Administrative Coordinator - Spoke is to complete all assigned tasks as directed by management.  This may include, but is not limited to:  accounting, payroll, customer service, billing, contract review, etc.  Key Roles and Responsibilities General Requirements: Perform daily file maintenance Excellent communication skills and strong attention to details Follow all safety rules and regulations Ensure compliance with all policies and procedures  Accounts Receivable: Meet or exceed collection goals monthly Work with operations and other departments to resolve billing disputes within 30 days of invoice date Adhere to “soft call" program Follow guidelines regarding bad debt write-offs and credit memos Obtain proper levels of approval prior to entering the credit memo into RentalMan  Payroll: Enter all paid time-off, salary hours, and non-job cost time daily Balance payroll for each person daily Complete Payroll by the 2 P.M. CST deadline every Monday Prepare, review, sign and mail the certified payroll reports each week  Customer Service: Provide administrative support for the sales department Schedule Daily Production (DPR) reports for all lines of business Process completed DPRs for all lines of business Create and process rental delivery and pick up tickets Provide excellent customer service for walk-in and phone customers Answer phones in a professional and courteous manner Complete all paperwork for the previous business day prior to end of day File all documents in the appropriate place daily  Billing: Ensure all rental billing is completed daily Complete all contract billing monthly Reconcile operations quantities performed with quantities paid by the Department of Labor (DOT) or General Contractor (GC) on monthly job-to-date pay estimate  Contract Coordinator: Review Contracts for language Work with General Contractors to resolve language unfavorable to HT Track contracts through execution Ensure all contracts are properly filed in job folders Create and maintain files on all jobs Reconcile production quantities with DOT or GC monthly job-to-date pay estimates Complete monthly billing in RentalMan Adhere to all policies established by HT Gather all DOT and GC pay estimates each month File all documents in the appropriate place daily  Core Competencies  Excellent time management, organizational and multi-tasking skills.   Ability to conduct oneself in a manner that promotes a professional atmosphere, and ensure that the encounter with both internal and external customers is an above average experience.  Aptitude for mathematics and analytical thought processes.
